- Communications: We retain the SMS/MMS messages exchanged with our service for processing and support purposes.

- Usage Data: We collect information about how you interact with our service, including timestamps and message metadata.
- Device Information: We may collect phone number carrier information as provided by our telecommunications partner.
How We Use Your Information
We use the information we collect to:
- Process and categorize your expense submissions
- Communicate with you via SMS about your expense submissions
- Provide expense reports to your employer
- Improve our AI-powered receipt processing
- Respond to your inquiries and provide customer support
- Detect and prevent fraud or abuse

Information Sharing
We may share your information in the following circumstances:
- With Your Employer: Expense data is shared with your employer's authorized personnel (controllers, administrators) for review and approval.
- Service Providers: We use third-party services for SMS delivery (Twilio), cloud hosting (DigitalOcean), database services (Supabase), and AI processing (Anthropic). These providers have access to information needed to perform their functions but are contractually prohibited from using it for other purposes.
- Legal Requirements: We may disclose information if required by law, regulation, legal process, or governmental request.
We do not sell your personal information to third parties.
Data Retention
We retain your personal information for as long as your account is active or as needed to provide you services. Expense records are retained in accordance with your employer's data retention policies and applicable legal requirements, typically for a minimum of 7 years for tax purposes.
When you or your employer request deletion, we will remove your data within 30 days, except where we are required to retain it for legal or legitimate business purposes.
Data Security
We implement appropriate technical and organizational measures to protect your personal information, including:

- Access controls and authentication requirements
- Regular security assessments

When you first text our service number, you will receive a consent confirmation request. You must reply "YES" or "START" to confirm your consent before you can use the SMS expense submission feature. This ensures you have explicitly agreed to receive text messages from Cuento.
